How do I set up leasing workflows?

A leasing workflow determines how brands can interact with your listing. It controls whether brands send an inquiry, submit a booking request, or book instantly. You set this up per listing during the publishing step, and it directly affects how much control you have over incoming bookings.


The three workflow types

Inquiry 

Brands express interest and send their concept via the inbox. No payment is involved at this stage. You review the inquiry and decide whether to invite them to book. If you want to proceed, you send the brand an invitation to book. Only then does payment come into the picture. Best for: landlords who want maximum control and prefer to vet every brand before any booking commitment is made.


Booking request

Brands submit a full application including their project template, with payment pre-authorised. You review the request and explicitly accept or decline. If accepted, payment is finalised and the booking is confirmed. If declined, the pre-authorisation is released. Best for: landlords who want complete applications upfront and are comfortable making quick decisions.


Instant booking

Works like a booking request but skips your approval. The booking is confirmed automatically as soon as the brand submits it. Payment is secured immediately. Best for: landlords who want to fill space quickly with minimal back-and-forth.


Note: You can enable more than one workflow type per listing. For example, you may want to allow both inquiries and booking requests but not instant bookings, so you retain control over who books your space.

How to set up your workflow

Workflows are configured during the listing setup process on the Publication page of the listing builder.

  1. Go to the Listings tab in your Spacewise dashboard
  2. Open an existing listing or create a new one
  3. Navigate to the Publication section of the listing builder
  4. Select the workflow type or types you want to enable for this listing
  5. Review all other publication settings carefully
  6. Click Publish to save and go live


Important: The Publication page controls more than just the workflow. It also determines your listing's visibility and channel distribution. Review all settings carefully before publishing. Changes to the workflow on a live listing may affect pending inquiries or requests already in progress.
