When brands reach out about your space, they can do so in three different ways, each with its own flow. Understanding the difference helps you respond at the right moment and keeps your booking process running smoothly.
All incoming contact appears in your Spacewise inbox. Go to: Spacewise dashboard, then Inbox. The three types of incoming contact
| Inquiry | Booking request | Instant booking | |
|---|---|---|---|
| How it works | Brand expresses interest and sends their concept. No payment involved. | Brand submits a full application with payment pre-authorised. | Booking is confirmed automatically. No input required from you. |
| Your action required | Yes, you decide whether to invite them to book | Yes, you accept or decline | No action needed |
| When payment is taken | After you invite them and they accept | After you accept the request | Immediately on submission |
Responding to a booking request
A request is the most complete type of incoming contact. The brand has submitted their project template and payment has been pre-authorised.
Open the request in your inbox
Review the brand's project template, concept, and requested dates
Decide whether the concept is a good fit for your space
Choose to Accept or Decline
If you accept, payment is finalised and the booking is confirmed. Both parties receive a confirmation.
If you decline, the pre-authorised payment is released back to the brand. You will be asked to provide a reason for declining.
Note: Landlords are encouraged to respond to booking requests within 72 hours. If no response is given within 7 days, the request is automatically cancelled and the pre-authorisation is released.
Responding to an inquiry
An inquiry is a non-binding expression of interest. No payment is involved at this stage.
Open the inquiry in your inbox
Review the brand's concept and message
If you want to proceed, click Invite to book to send the brand a booking invitation
The brand accepts the invitation and completes their payment details
The booking is confirmed and payment is secured
If you are not interested, you can decline the inquiry or simply respond via the inbox to ask further questions before deciding.
Note: Inquiries do not hold or reserve dates. If you are interested in proceeding, send the invitation promptly to avoid the brand booking elsewhere.
Instant bookings
Instant bookings require no action from your side. The booking is confirmed automatically as soon as the brand submits it. Payment is secured immediately. You will receive a notification in your inbox confirming the new booking.
Instant bookings are only available if you have enabled this option in your listing's Publication settings. You can turn this on or off at any time from the listing builder.

Respond to booking requests promptly. Landlords who respond quickly receive more repeat inquiries from brands
Use the inbox to ask follow-up questions before accepting or declining
If a concept is close but not quite right, declining with a clear reason helps brands refine their approach for next time
