Every listing on POP UP SHOPS requires a cancellation policy. This determines how refunds are handled if a brand cancels their booking. You set this per listing in the listing builder and brands can see it before submitting a request.
There are 3 types of cancellation policies that you can set up for your listings. The type of cancellation policy reflects how refunds are handled.
Note: All refund percentages below are calculated after the 4% transactional fee has been deducted. All cancellations must be submitted by 12:00 midday CET on the applicable day to qualify for the refund within that window.
Flexible
Best for short-term or high-turnover spaces where you are comfortable with last-minute changes.
| Cancellation timing | Refund |
|---|---|
| More than 2 weeks (14 days) before the booking start date | 100% refund after fees |
| Between 1 week (7 days) and 2 weeks (14 days) before the booking start date | 50% refund after fees |
| Less than 1 week (7 days) before the booking start date | No refund |
Moderate
A balanced option for most listings.
| Cancellation timing | Refund |
|---|---|
| More than 2 weeks (14 days) before the booking start date | 50% refund after fees |
| Less than 2 weeks (14 days) before the booking start date | No refund |
Strict
Recommended for larger spaces or longer-term bookings where last-minute cancellations are more disruptive.
| Cancellation timing | Refund |
|---|---|
| More than 1 month (30 days) before the booking start date | 50% refund after fees |
| Less than 1 month (30 days) before the booking start date | No refund |
Which policy should you choose?
Choose Flexible if your space is easy to rebook at short notice and you want to attract brands who are still finalising plans
Choose Moderate if you need reasonable notice to find a replacement booking but can accommodate some flexibility
Choose Strict if your space requires significant lead time to prepare or if last-minute cancellations are costly for your operations
How to set up your cancellation policy
Go to the Listings tab in your Spacewise dashboard
Open the listing you want to configure or create a new one
Go to the House rules and documents section of the listing builder
Select the cancellation policy type you want for this listing

Note: You can update your cancellation policy at any time from the listing builder. Changes apply to new bookings only.
